This tab allows you to specify the type of rule, and the Source Folder to scan. The Rule Properties - Rule Basics Tab looks like the image below.
The fields and controls and their associated functions can be summarized as follows:
Rule Name
Enter the name for your rule in this field. When Creating a rule from a specific message, this will be pre-filled with a sample rule name.
Rule Type
The are 11 types of rules:
1.Scan Messages when they arrive in my Inbox - Check messages after they arrive in my Inbox for the characteristics on the Message Properties tab, then apply the selected actions on the Actions tab.
2.Scan Messages after I send them - Check messages after I send them in my Sent Items for the characteristics on the Message Properties tab, then apply the selected actions on the Actions tab.
3.Scan Messages after receiving them or sending them - Check messages after they arrive in my Inbox or after I send them in my Sent Items for the characteristics on the Message Properties tab, then apply the selected actions on the Actions tab.
4.After I Reply to a message - After I reply to a message sent from a specified email address apply the selected actions on the Actions tab.
5.After I Forward a message - After I forward a message to a specified email address apply the selected actions on the Actions tab.
6.Scan messages after a period of time in a folder - Check messages after a period of time in the specified folder for the characteristics on the Message Properties tab, then apply the selected actions on the Actions tab.
7.Scan messages when they are added to a folder - Check messages after messages have been added to a folder by any means.
8.If message(s) do not exist in a folder - Check if messages do not exist in a selected folder.
9.Execute Actions on a schedule - This rule does not scan folders for messages. It is used to execute actions on a schedule.
10.Scan for duplicate messages - Scan for duplicate messages.
11.Execute Actions on selected message - Execute rule actions on the currently selected message in Outlook
Older Than
When the rule type: Scan messages after a period of time in a folder is selected, use this field to selects the age of the messages to match. Choose from the following settings:
•Any Time
•15 minutes
•1, 2, 4, or 8 hours
•1, 2, 3, 4, and 5 days
•1 or 2 weeks
•1, 2, 3, or 6 months
•1, 2, or 3 years
•custom - use the Custom days field to enter the number of days.
•Between Two Dates - use the Between Dates selectors to specify the from and to dates.
Source Folder
Select the source folder to scan for messages. Certain rule types will cause the source folder to be locked. Use the ... button to select a folder. The select folder dialog will also allow you to create a new folder.
Recurse Sub-folders
When you select this checkbox, sub-folders beneath the Source folder listed will also be scanned. This option is only available for rule type that allow you to select the Source Folder. Please note that selecting this feature may greatly effect the speed of execution when this rule is run.
Only Process Newer Messages Since Last Rule Execution
Use this feature to speed rule execution by omitting messages considered the last time tis rule was executed. This is done by using received date and the timestamp that the rule was last executed.
Rule Category
Displays the current category assigned to this rule. This can be changed using the dropdown list if desired. It defaults to [uncategorized]. See Rule Categories for more information on managing categories.
List Rule in the Ribbon Run List
Enabling this option will make this rule be listed in the Outlook ribbon, Auto-Mate tab, run list.
Update/Add Button
Click this button to save changes to an existing rule. For new rules, this button is labeled Add Rule.
Cancel Button
Click this button to exit without making changes.
